2. What we collect
We collect only what you choose to send us through the trade enquiry form:
- Business name and contact name
- Telephone number and email address
- Business postcode
- Business type
- Products or categories you are interested in, and approximate requirement, if you provide them
- Your preferred contact method and any message you write
We do not ask for, and you should not send us, payment details, identity documents or any special category data such as health information.
3. Why we use it, and our lawful basis

We do not use your details for marketing unless you ask us to, and we do not sell or share your data with anyone for their own marketing purposes.
4. How your enquiry reaches us
Depending on the contact method you choose, your enquiry is sent to us by email or through WhatsApp. If you choose WhatsApp, your message passes through WhatsApp's service and is subject to their privacy terms as well as ours. If you would rather not use WhatsApp, select email or telephone instead, or contact us directly using the details in section 1.
5. Cookies and tracking
This website sets no cookies and uses no analytics, advertising or tracking technology. Nothing is stored on your device. If we introduce analytics in future, we will update this policy and ask for your consent first where required.
6. Who we share it with
Your enquiry is seen by the UC Foods sales team. We may also share data with:
- Our email and website hosting providers, who process data on our instructions
- Our accountants or professional advisers, where an enquiry becomes a trading relationship
- Authorities, where we are legally required to disclose
We do not transfer your data outside the UK except where a service provider does so under appropriate safeguards.
7. How long we keep it
If your enquiry does not lead to a trading relationship, we keep it for up to 24 months and then delete it. If you become a customer, your records are kept for as long as we trade together and for six years afterwards, to meet our accounting and tax obligations.
8. Your rights
Under UK data protection law you have the right to:
- Ask what personal data we hold about you, and receive a copy
- Have inaccurate data corrected
- Ask us to delete your data, where we have no continuing reason to hold it
- Object to, or ask us to restrict, our use of your data
- Ask us to transfer your data to another provider
- Withdraw consent at any time, where we relied on consent

9. Keeping your data secure
Access to enquiry data is limited to staff who need it. Our website is served over an encrypted connection and our email accounts are password protected. No system is completely secure, but we take reasonable steps to protect your information and will tell you and the regulator promptly if a breach occurs that is likely to affect you.
10. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised. Material changes will be highlighted on this page.
